Work Term Preparation

Work Term I

Once students receive notification that they have been accepted into the Co-op Program, the preparation for Work Term I begins. Communication from the Co-op Office is made via email, students must check their @myumanitoba email accounts daily.

Meetings and Workshops

  • Orientation Meeting 1 and Orientation Meeting 2 (mandatory)

These meetings will provide an overview of the fall term including schedules, expectations, and roles and responsibilities.

  • Resume and Cover Letter Workshop (mandatory)

After this workshop, students are expected to submit an updated resume and a sample cover letter to the Co-op Office for feedback.

  • Interview Skills Workshop (mandatory)

Students will be provided with information on the different types of interview questions.

  • Interview Skills Practice Session (mandatory)

Students will be divided into small groups with senior Co-op students or industry partners and given advice and guidance on interview techniques. In addition, current students will have a chance to practice answering common interview questions.

Student Responsibilities

  • International Students must obtain a Work Permit as per the instructions provided on the International Students page of this site.
  • Order a transcript from the Registrar’s Office.
  • Once a final resume and sample cover letter have been approved by the Co-op Office, the student must uploaded both documents to careerCONNECT.

Work Term II

Preparation for Work Term II begins the first week of the summer term.

Meetings and Workshops

  • Re-organization Meeting (mandatory)

The objective of this meeting will be to discuss any issues or concerns arising from Work Term I, distribute the Work Term II preparation schedule, and to review resume and cover letter development. Students will be required to submit an updated resume and sample cover letter to the Co-op Office for review and feedback prior to applying for jobs.  This must be done prior to any applications for Co-op positions being forwarded to employers.

Interview Skills and Objective Development Workshop (mandatory)

  • This workshop will include a review of interview skills with the emphasis on Behavioural Descriptive Interviews and will address any concerns identified by employers during Work Term I interviews. The second discussion topic will focus on learning objectives.

Student Responsibilities

  • Attend the above two mandatory meetings.
  • Order a Transcript from the Registrar’s Office and upload it to careerCONNECT.
  • Update resume and cover letter to reflect Work Term I Co-op position, have them critiqued by the Co-op Coordinator, and upload a copy of each to careerCONNECT.
  • Notify the Co-op Office if returning to Work Term I employer. The Co-op Office will require an updated job description and written confirmation from the employer.

Work Term III

Preparation for Work Term III will begin the first week of classes in January.

Meetings and Workshops

  • Reorganization Meeting (mandatory)

The objective of this meeting will be to discuss any issues or concerns arising from Work Term II, distribute the Work Term III preparation schedule and review learning objectives.

  • Workshops will be conducted if needed.

Student Responsibilities

  • Order Transcript from the Registrar’s Office and upload it to careerCONNECT.
  • Update resume and cover letter to reflect Work Term II Co-op position, have them critiqued by the Co-op Coordinator, and upload it to careerCONNECT.
  • Notify the Co-op Office if returning to a previous work term employer. The Co-op Office will require an updated job description and written confirmation from the employer.

Work Requirements

Work Term I

Month One

No written requirements for the Co-op Office.

Month Two / Three

At approximately the midway point of the work term (weeks six to ten) the Co-op Coordinator will conduct a site visit. Prior to the site visit the person who is supervising and / or mentoring the student will be asked to complete an Employer Mid-term Evaluation of Co-op Student Web Form.

The visit will consist of a 20-25 minute joint meeting with the student, a representative from the company (usually the person(s) supervising and / or mentoring the student), and the Co-op Coordinator. During that time, the Supervisor and / or Mentor will review the evaluation with the student and Co-op Coordinator.

Once the joint portion of the meeting is finished, the Co-op Coordinator will spend 20-25 minutes one-on-one with the student.

Month Four

Each student must complete and submit a Work Term I Report approximately half way through the fourth month of the work term. A deadline date for submission of these reports will be announced each term.

It is also the responsibility of each student to ensure that an Employer Final Evaluation of Co-op Student Web Form is completed during the last week of the Co-op placement. Where possible, the person who completes the form (usually the student’s Mentor or Supervisor) should review this submission with the student. The deadline date for submission of this web form will be announced each term.

Please note: the Co-op Office requires all forms prior to submitting a grade (P/F) for the work term.

Work Term II

Month One

Within the first two weeks of beginning the work term, the student will meet with the person to whom they are reporting to review their duties and responsbilities and / or project goals. Based on that discussion, or during that discussion, the student will need to determine three things they will have to learn or demonstrate to meet the employer’s expectations. Both of the above will be recorded in Section 1 of the Work Term II Report which can be found on the UM Learn website.

Month Two / Three

Immediately following the Co-op Coordinator’s site visit, the student will return to the Work Term II Report to record the employer’s current evaluation of the work term. This will include any competencies that the employer or Co-op Coordinator identified on which the student needs to continue to concentrate.

Month Four

The student is required to complete the Work Term Report Questionnaire portion of the web form. The deadline for final completion of this web form will be announced each term.

It is also the responsibility of each student to ensure that an Employer Final Evaluation of Co-op Student Web Form is completed during the last week of the Co-op placement. Where possible, the person who completes the form (usually the student’s mentor or supervisor) should review this submission with the student. The deadline date for the submission of this web form will be announced each term.

Month One

Just prior to the Mid Term Site Visit, the student will complete the Work Term III Reflection Exercise. Copies of both reports should be printed and available for the site visit.  The information on the Reflection Exercise will be reviewed and discussed only by the student and Co-op Coordinator.

Immediately following the Co-op Coordinator’s site visit, the student will return to the Work Term III Report to record the employer’s current evaluation of the work term. This will include any competencies that the employer or Co-op Coordinator identified on which the student needs to continue to concentrate.

Month Four

Each student will complete the remainder of the Work Term III Report.  The deadline date for the completion / submission of this web form will be announced each term.

It is also the responsibility of each student to ensure that an Employer Final Evaluation of Co-op Student Web Form is completed during the last week of the Co-op placement. The student should set up a meeting with the Mentor and / or Supervisor for an exit interview during which the web form is reviewed.  The deadline date for submission of this web form will be announced each term.
